This website is operated by Vintage Agency BV under the name Vintage Suppliers 1989. Throughout the site, the terms "we," "us," and "our" refer to Vintage Suppliers 1989 and Vintage Agency BV. Vintage Suppliers 1989 provides this website, including all information, tools, and services available from this site, conditioned upon your acceptance of all terms, conditions, policies, and notices stated here.
By visiting our site or purchasing something from us, you engage in our "Service" and agree to be bound by the following terms and conditions ("Terms of Service," "Terms"), including those additional terms and conditions and policies referenced herein. Our store is hosted on Shopify Inc., providing the online e-commerce platform that allows us to sell our products and services to you.
Shipping
We reserve the right to choose shipping partners and impose shipping costs. Import duties and taxes may apply in some countries, and we do not cover these costs. They are not included in the original shipping costs, and you (the buyer) are responsible for paying them.
Once items are shipped, we do not take responsibility for missing/damaged items. Ensure that you sign for the correct number of kilos/packages you ordered upon delivery. We are not responsible for incorrect sign-offs.
Delivery is considered complete once the carrier updates the shipment status to 'delivered'. In case of any issues or disputes regarding non-receipt, the customer must notify us promptly and cooperate in providing necessary information to assist with the investigation.
Missing, Delayed, or Lost Parcels
If a parcel is missing, delayed, or lost, we will initiate an official investigation with the shipping carrier only after receiving all required information and documents from the customer, which includes a legally signed declaration of non-receipt. This declaration forms part of our claim against the carrier and must be completed truthfully and in full.
If a parcel is marked as “delivered” but is believed to be missing, the customer must notify us in writing within 10 calendar days of the recorded delivery date. This deadline is necessary to comply with carrier claim timeframes. Claims submitted after this period will be rejected automatically, and we cannot be held responsible for refunds or replacements in such cases.
Customers are obliged to fully cooperate with all investigative procedures. This includes providing signed statements, copies of identification, proof of address, or any other documentation requested by us or the shipping carrier. Failure to provide the required documentation or to cooperate fully may result in the automatic closure of the claim and no compensation will be issued.
No refunds, replacements, or store credits will be provided until the carrier has completed its investigation and confirmed the outcome in writing. Resolutions are strictly bound by the carrier’s findings.
Where a delivery is signed for, by any party, the signed proof of delivery will be treated as binding evidence that the parcel was received at the stated address. If the customer disputes this, the matter will be escalated to the carrier for independent review. Refunds or replacements will only be issued if the carrier formally confirms a loss or error.
We reserve the right to deny any claim if we detect incomplete, inconsistent, fraudulent, or misleading information during the investigation. Any fraudulent declarations will be reported to law enforcement and relevant authorities.
Limitation of Liability
Our liability for any lost, delayed, damaged, or misdelivered parcels is strictly limited to the lower of:
The original purchase price of the goods, or
The maximum compensation amount recoverable from the shipping carrier.
We are not liable for any indirect, incidental, special, or consequential losses or damages caused by delivery issues, including but not limited to loss of business, loss of income, emotional distress, or inconvenience resulting from delayed or missing parcels.
Once a parcel has been handed over to the shipping carrier, all risk of loss, damage, or delay transfers to the carrier and, where applicable, to the customer. Any claims for compensation beyond the value of the goods must be directed to the carrier in accordance with their terms and policies.
Nothing in these terms excludes or limits your statutory rights under Dutch or EU consumer protection laws.
Data and Privacy
During investigations into missing, delayed, or lost parcels, we may request personal information from the customer, including signed declarations, affidavits, identification, and supporting documentation. This information will be used exclusively for the purposes of processing the claim and liaising with the shipping carrier.
Personal data will be processed under the lawful basis of contract performance and, where required, legitimate interest. Information may be shared with the carrier, insurance providers, payment processors, and other relevant third parties only to the extent necessary to complete the investigation. Data will be stored securely and retained solely for as long as necessary to fulfill legal, regulatory, and insurance obligations.
Customers have the right to request access to, correction of, or deletion of their personal data in accordance with our Privacy Policy and applicable GDPR provisions.
Any attempt to submit a false claim regarding missing or undelivered goods may result in the immediate reversal of any future transactions or denial of service, including any rights to a refund, as well as legal action to the fullest extent. We reserve the right to report any fraudulent activity to the relevant authorities to the fullest extent possible.
If a return is initiated based on a claim that the wrong items were received, and it is determined that the original delivery matches the order placed and product description, the return will be treated as a standard return. In such cases, the customer will be charged a return and processing fee of 25€. This fee will be deducted from the refund amount.
Our Bundles/Sacks/Bales
Quantities in product descriptions are estimates, and we do not guarantee receiving the exact quantities. Product descriptions indicate brands, colors, era, and clothing types you might get, but we do not guarantee specific items. For example, our branded mix may include Ralph Lauren, Tommy Hilfiger, The North Face, Adidas, Nike, and more. However, you may receive other suitable brands.
The photos on our website are for representation purposes only; as our items are second-hand and unique, the actual products may vary in appearance from the images shown.
Refund Policy
To be eligible for a refund, orders must be in the same condition as received, and all items of a bundle must be returned.
You have 14 days to return the order for any reason. Costs and duties for returns are the customers responsibility. If you return the item/order 14 days after receipt, you are not eligible for a refund.
To start a return, contact us at support@vintagesuppliers1989.com. If your return is accepted, we'll provide a return address and instructions. Items sent back without requesting a return will not be accepted.
Whenever multiple units of the same bundle are purchased (e.g., 3 x 10pcs), a refund will only be considered if each single bundle — the full quantity of pieces within that category — is returned in their entirety. In cases where an order includes both Grade A and Grade B bundles from the same category, all bundles of both grades must be returned in full for in order to process a refund for either one. These policies prevent partial returns based on preferred item selection.
Refunds are processed once we receive and inspect your return. Allow approximately 14 business days after arrival of your return shipment at our warehouse for processing. We'll notify you of approval or rejection. If approved, you'll be automatically refunded via your original payment method. It may take a few business days for your bank or credit card company to process and post the refund.
Rejected or Incomplete Returns
If a return is incomplete or does not meet the conditions stated in our Return Policy, the return will be rejected and held at our warehouse. The customer may either arrange their own carrier to collect the parcel or request re-shipment through us for a €25 processing and handling fee plus additional shipping costs to cover the associated costs.
In all cases, the incomplete returned bundle remains the customer’s property and travels entirely at the customer’s own risk once handed over to any carrier.
If the customer does not arrange collection or payment of the handling and shipping fee within 14 days after being notified, the parcel will be considered abandoned and may be disposed of or recycled without further notice.
Quality Claims
Customers are requested to inspect their order promptly upon receipt and to notify us without delay if any items are defective, damaged, or incorrect. Due to the nature of the products and the manual sorting processes involved, bundles may contain up to 15–20% Grade B or Grade C items. This characteristic is part of the product offering and is taken into account when assessing claims.
To evaluate a claim, we may request clear photos of all relevant items. Once these have been provided and assessed by our support team, the evaluation of the order is considered final.
All claims are reviewed in conjunction with our internal order records and quality controls. If we detect intentional misrepresentation or fraudulent reporting of defects, we reserve the right to take appropriate measures, including reporting such conduct to the competent authorities, who may initiate criminal proceedings where warranted.
Online Store Terms
By agreeing to these Terms of Service, you represent that you are of the age of majority in your state or province of residence or have given consent for any minor dependents to use this site.
Individuals under the age of 14 may only place orders, handpick or make any other form of purchase with the express consent of a parent or legal guardian, and must comply with any additional age-of-consent or authorization requirements applicable.
You may not use our products for illegal or unauthorized purposes or violate any laws in your jurisdiction.
General Conditions
We reserve the right to refuse service to anyone for any reason at any time without reason.
Your content (excluding credit card information) may be transferred unencrypted and may involve transmissions over various networks. Credit card information is always encrypted during transfer.
